InternalPayroll — Payroll and HR Software

InternalPayroll runs the monthly payroll for a company and the office administration around it — the salary structures, the attendance, the payslips, the hiring, and the paperwork people ask HR for six months after they have left.

It is live and in daily use at internalpayroll.com.

Payroll that remembers what it did

Salaries change. People get raises mid-year, allowances get added, someone’s structure is corrected after the fact. Most payroll spreadsheets handle this by overwriting the old figure, and then nobody can reproduce last March.

InternalPayroll treats a salary structure as something with dates — this is what the person was on, from this day to that day. When you run a month, the payslip is a permanent snapshot of the figures as they stood. Change someone’s salary next week and last month’s payslip does not move.

That is the difference between a payroll you can answer questions about and one you can only apologise for.

  • Salary components you define — allowances, deductions and benefits set up the way your company actually pays, not forced into someone else’s template.
  • Monthly payroll runs with the tax worked out as part of the run.
  • Payslips issued to employees, fixed once issued.
  • Bank details held against each employee for payment.

Attendance and the working month

Attendance is recorded against the same employees payroll pays, so the month you pay for is the month that was worked. Working patterns cover on-site, remote, hybrid, part-time and full-time, because most companies now have all of them at once.

Hiring, end to end

Recruitment is a full part of the system rather than an afterthought: vacancies, applicants, and the progression from application through to an offer — and when the person joins, they are already in the system that will pay them. Nobody retypes a name.

Two portals, so HR is not a middleman

  • Employees sign in to see their own payslips and records, which removes most of the email traffic HR handles every month.
  • Clients get their own portal, so a firm that manages payroll or work on behalf of other businesses can give each of them a window onto their own information and nothing else.

Documents people ask for years later

Experience letters are issued from the system, and each one carries a QR code that verifies it. A bank, an embassy or a future employer can check the letter is genuine without telephoning your office — and a forged one does not survive the check.

It is a small feature that saves a real amount of time, and it is the sort of thing companies usually only think of after being asked to confirm employment for somebody who left in 2019.

The money side of the office

Beyond payroll, the system covers company banking and office finance, and lets you invoice your own clients from the same place. Reporting sits across all of it, so the monthly questions — what did we pay, to whom, under what heading — are answered from records rather than reconstructed.

Your company’s data is your company’s

Every company on InternalPayroll gets its own separate space, reached at its own address, with its own users and permissions. Salary information is the most sensitive data most businesses hold, and it is kept apart by design rather than separated by a filter someone could get wrong.

Who it suits

  • Companies that have outgrown a payroll spreadsheet but do not want an enterprise implementation project.
  • Businesses whose salary structures are genuinely varied — allowances, mixed working patterns, mid-year changes.
  • Firms running payroll or back-office work for other companies, who need each client kept properly separate.

Pricing follows headcount, so a small team is not charged like a large one. Tell us how many people you pay and we will tell you the figure.
